How do you connect construction estimates to job scheduling?
Let the approved estimate create the job, then plan from it. Nothing the customer agreed to should be typed in twice.

What the job should reuse from the estimate:
- Quantities for material planning and ordering.
- Labor allowances for crew hours and scheduling.
- Scope details and exclusions for the field instructions.
- Drawings from the version the customer accepted.
Which estimate version should the schedule use?
Schedule only from the estimate version the customer accepted. A schedule built from an outdated estimate can create confusion before the work even begins.
Keep revisions separate.
Save each revision as its own version instead of overwriting the last one.
Mark the accepted version.
Record which version the customer accepted, and when.
Link the details to it.
Attach drawings, exclusions, material allowances and expected labor to that version.
Create the job from it.
Once approved, create the job record and assign the responsible crew or subcontractor.

What has to be ready before a job can start?
A job can start when everything it depends on is in place. Any one missing piece can move the start date, so make each one visible on the job:

Important to know: a calendar is not a schedule
A free slot on the calendar shows only that a crew is not booked elsewhere. It does not confirm that the crew has enough capacity for the planned hours, or that materials will be on site. Software can check those things only when capacity and material status are recorded on each job.
How should change orders be tracked?
Track each change order as a record linked to the job, with its own scope, price, approval and schedule impact. Do not leave changes buried in text messages, where billing and the field crew cannot see them.

Start by looking back. Take your last finished job, list every change you can find in texts, emails and notes, and check how many of them reached the invoice.
Then, before your next job starts, set up a one-page form, on paper or in a shared file, and fill it in for every change, however small:
- Change number and job: for example, change 3 on job 2417.
- Estimate version: the accepted version this change modifies.
- Changed scope: what is added, removed or different, in plain words.
- Price: the amount added or credited.
- Approval: who approved it, how and when.
- Schedule impact: days added, crews moved, materials to order.
Where you can, start changed work only after the approval line is filled in. At billing time, every change and its approval is already in one place.
How do you test construction estimating and scheduling software?
Test the software with the situations that break schedules, not with a clean demo. The same three tests apply whether you buy a product or have custom estimating and scheduling software built:
A delayed delivery.
Materials arrive late. Does the system show which jobs and crews are affected?
Partial completion.
A crew finishes part of the scope. Can progress be recorded and the rest rescheduled?
A changed requirement.
The customer changes the scope mid-job. Can the change be priced, approved and reflected in the schedule?
Measure three things now, then again once the new process runs:
- Estimate turnaround: time from request to a sent estimate.
- Missed handoffs: jobs where the field lacked something the office already knew.
- Reconciliation effort: time spent matching changed work to what was billed.
