OpenCollar Technologies LLC - United States

Custom operations software for US companies that have outgrown their spreadsheets.

We replace the workbooks, the double entry and the knowledge that lives in one person's head with a single system of record. It is built around how your business already works, delivered in working pieces you can use inside the first month, and owned outright by you at the end.

What we do

We build the software a company runs on

Most engagements start with one workflow that costs real hours every week, then grow outward. We work in ordinary, well-documented stacks, so what we build can be maintained by people who are not us.

  • Operations systems built to your process

Estimating, job costing, scheduling, inventory, billing. We build from your live artifacts rather than a requirements questionnaire, so the arithmetic your business already trusts survives the move.

    Custom software development
  • Industry platforms and internal products

Multi-tenant platforms, customer portals, field apps and admin tools. Built so a second company, a second branch or a second product line is a configuration change, not a rewrite.

  • Automation of the work people retype

Document extraction, approval routing, reconciliation and scheduled reporting. We automate the handoff that costs the most hours first, then the next one.

    AI and process automation
  • Integration between systems that do not talk

MuleSoft's 2025 connectivity benchmark found that only 29% of applications at the average enterprise are integrated. We connect the ones that matter to your cash cycle and leave the rest alone.

    APIs and microservices
  • Legacy modernization in stages

Access databases, unsupported PHP, an ERP module nobody can change. We map the handoffs, move the highest-risk step first, and keep the old system running until the new one has earned the switch.

    Legacy modernization
  • Reporting leaders actually open

Planned against actual, per job and per month, produced from the same records your team enters day to day. No separate spreadsheet kept alongside the system.

What we believe

The positions behind how we work

A belief with no consequence is decoration. Each of these costs us something, which is what makes it worth publishing.

  • You should own what you paid for.

Source code, database and hosting end up in your name. We would rather lose a recurring licence than hold a client through a contract they cannot leave.

  • Software should fit the business, not the reverse.

We build from how your team already works. Asking people to change a process that works, so it suits a product, is how good operations get worse.

  • Working software beats a status report.

You see something running on your own data early, then a steady rhythm of releases. Progress you can log into is the only kind worth reporting.

  • The honest answer is worth more than the sale.

We say when something should not be built, when an off-the-shelf tool is the better buy, and when the problem is a process rather than software.

  • Sensitive data is restricted by default.

Pay, margin and personal records are visible by role from the first release, not added once someone notices. Access is a design decision, not a later feature.

  • AI where it removes real work.

We use it for the retyping, the extraction and the reconciliation. Judgement, architecture and accountability stay with people, and we will say so rather than pad a proposal.

How we work

What do the first 90 days look like?

Discovery runs on your real documents for the first ten days. You have a working end-to-end path on your own data inside 30 days, then a release every week. By day 90 the system has run in parallel with the old process, the data is migrated, and the source, credentials and runbook are in your hands. There is no twelve-month wait before you see software.

  1. Days 0-10

    Discovery on your real artifacts

We work from your actual workbooks, forms, reports and job history, and we sit with the people who key the data. The point is to find where the same number gets entered twice.

OutputA map of the handoffs, a scope you can price, and an honest list of things we recommend not building.

  2. Days 10-30

First working slice, on your data

We build one end-to-end path first, usually the one that costs the most re-keying, and load it with your own records so your team is testing reality rather than sample data.

OutputA staging environment you can log into, with the first path working start to finish.

  3. Days 30-60

    Build out against real use

A release every week. Permissions, printed documents, integrations and reporting are shaped by what your team hits in use, not by what a specification predicted.

OutputWeekly releases, a visible backlog, and a change log that says what moved and why.

  4. Days 60-90

    Cutover and handover

Parallel run against the old process, then a data migration that previews before it commits and can be undone. Handover is a deliverable, not a favour at the end.

OutputSource code, database, credentials, a written runbook and a recorded walkthrough, in accounts you control.

After day 90 you can run the system yourself, keep us on support, or both. Nothing in it stops working if you stop paying us.

The engineering practice behind this is written up under our software development approach, and if you are not sure what to scope first, start with where to start.
